New Hire Onboarding Workflow - HR Onboarding - (Paper File Upload)

NEW HIRE Onboarding


STEP 1. HR Responsibilities for all new hires

Human Resources creates a new username and password for employee. Instructions to add, edit or disable a new user in Hatch below.

If you have a scanned or paper file, click the link below for instructions


COPY and send instructions under STEP 2 to the employee
STEP 2. EMPLOYEE Responsibilities
New user will receive an email with their login and password. HR should check with new user to make sure they received the email with the username and password(check spam folder). If email isn't received, email support@hatchcompliance.com


The employee will:
  1. Log into the Hatch Portal app.hatchcompliance.com
  2. Click HR Documents on the left side of the screen
  3.  Click HR Use Only
  4. In the search field, search for the HR Onboarding form
  5. Click + ADD NEW, to create a new HR file
  6. Complete the spaces on top of the form. If your exact title isn't listed, select the closest one (Example: Yoga Class Instructor = Group Facilitator)
  7. Under the Employee Required Documentation tab, click each link in the Upon Hire section. When the form comes up, click +Add New and comlpete each form
  8. For Competency Assessments listed in Probationary Period section, employee should work with the listed managers and HR to arrange these assessments.
  9. Once all the forms under the Upon Hire and Probationary Period section are complete, scroll down and select Acknowledged in the Employee Confirmation area 
  10. Add your name to the Related Users field
  11. Click Save


STEP 3. HR Responsibilities
  1. HR will select YES where it asks Are you Human Resources
  2. HR will click the link for Human Resources Required Information
  3. Under the Human Resources Required Information tab, click each link in the Upon Hire section. When the form comes up, click +Add New and comlpete each form
  4. For Competency Assessments listed in Probationary Period section, HR should work with the listed managers and employee to arrange these assessments
  5. Once employee acknowledges they've completed their Upon Hire and Probationary Period documentation HR will verify that employee's forms, and click Acknowledged under HR Confirmation
  6. HR will make sure the employee name is in the Related Users field at the bottom of the page
  7. Click Save or Update button at the bottom of the page
